A Touch-less Attendance System for a Major Fitness Facility

Machaxi is an all-in-one platform that connects players, coaches, and parents, where they can pursue their passion for sports. The app offers access to various sports centers for different kinds of sports enthusiasts. As the influx of attendees escalated, recording their attendance became a formidable task. Parents were left without a clear view of their children’s schedules and attendance, and sports centers were in need of a system to document the details of all visitors. In response to these challenges, Machaxi opted to incorporate a facial recognition system capable of automatically logging participant attendance. They joined hands with Auriga IT to create a secure, contactless attendance management system.

Challenges

• Gap in Attendance Tracking- Sports academies, training centers, and courts are frequently utilized by coaches for organizing training sessions. These facilities needed an efficient system for data management and attendance tracking, which can identify regular absentees. 
• Player Attendance Challenges– Under the existing system, players were required to register each time they visited a new center, which proved to be a cumbersome process. This highlighted the need for a system that could automatically mark the attendance of players who had registered at any Machaxi sports center.
• Absence of Real-Time Notifications for Parents- The existing system posed a challenge for parents to monitor their children’s regular attendance and progress at these sessions. Parents desired a system that would provide real-time notifications when their children attended or missed coaching classes, thereby enhancing transparency.

Solutions

The idea was to make attendance precise, convenient & safe, so we developed an AI-Powered self assisted Check in App that used distance metric algorithms (Euclidean Distance Algorithm) and Machine Learning library to verify the identities of Students, Coaches & Staff Members by their faces.

We first laid out the user journey to create a smooth flow. It included users logging in for the first time or a user whose face has already been registered in the system.

Solution and Design

Our solution design included the following:

• Data Synchronization– Our system now captures the details of all visitors to the centers, providing the center manager with a comprehensive database. This allowed for future updates to be sent to these individuals seamlessly.
• Real-Time Parental Notifications- With the implementation of the new attendance system, parents receive immediate updates about their children’s attendance. Parents get real-time notifications of their children’s absences and progress.

• Automated Facial Registration & Attendance- Our system allows new players to register in under 30 seconds using facial recognition, eliminating manual intervention. It also marks attendance for existing players in 3-4 seconds, saving significant time.

• Error-Free System- Our system automates attendance recording, eliminating human error. It provides real-time progress and attendance reports, enabling stakeholders to make data-driven decisions.
