Kindlife: Connecting B2B and B2C Beauty and Wellness Operations on One ERPNext Platform
D2C Beauty & Wellness · India
Kindlife needed an ERPNext warehouse supply chain platform to run 10,000+ SKUs, 1 lakh+ monthly orders, and 200+ partner brands across B2B and B2C channels. Instead, disconnected spreadsheets and manual batch tracking were creating stock errors, delayed decisions, and failures in FEFO (First Expired, First Out) compliance.
In simple terms, FEFO means shipping whatever is closest to its expiry date first, not whatever arrived first. For beauty and wellness products, where every batch has a different shelf life, this is what keeps expiry-sensitive stock from sitting too long and cuts down on waste.

01 - The Client
Kindlife
Beauty, Wellness and Unified Commerce · India
Each of Kindlife's 200-plus brand partners carries its own pricing, batch, and shelf-life rules, and every order has to be fulfilled correctly whether it arrives through the D2C storefront or a B2B wholesale account. As the business scaled across warehouses and channels, the spreadsheet-based systems that once tracked this could no longer keep up.
02 - The Challenge
What Was Holding the Business Back
Four operational gaps were blocking growth: disconnected B2B and B2C spreadsheets with no central system, manual batch tracking making FEFO enforcement unreliable, delayed reporting slowing decisions, and Excel-heavy workflows that could not scale with the business.
Rapid growth exposed structural problems across inventory, fulfilment, reporting, and coordination. Existing workflows were slowing execution and increasing operational risk as order volumes climbed.
Before
xDisconnected B2B and B2C spreadsheets
xExcel-based inventory with weak batch visibility
xFEFO difficult to enforce consistently
xManual MIS and delayed reporting
xWarehouse work dependent on manual coordination
ERP
After
vOne unified platform for all orders and channels
vReal-time inventory across locations and batches
vAutomated FEFO and expiry-aware fulfilment
vLive dashboards across stock, fulfilment, and finance
vDigital workflows for receiving, picking, shipping, and returns
01
No Central System
B2B and B2C operations ran on disconnected spreadsheets, forcing manual reconciliation and creating fragmentation across teams and channels.
02
Unreliable Batch Tracking
Weak batch-level visibility made expiry control and stock accuracy difficult, increasing the risk of mis-sequenced fulfilment and product wastage.
03
Delayed Reporting
Manual MIS processes meant leadership and teams were always working from yesterday's data, with no real-time view of stock, fulfilment, or finance.
04
No Path to Scale
Excel-heavy workflows created bottlenecks that made it harder to add warehouses, partners, and channels without proportionally growing the manual work.
03 - The Solution
One Platform Connecting Every Operation
Five integrated modules were built on ERPNext to cover the full operational lifecycle: purchase order and vendor management, batch and FEFO-controlled inventory, e-commerce B2C integration, warehouse and dispatch automation, and unified trading and distribution reporting.
Each module was built to match how Kindlife's operations actually work: connecting procurement, warehouse workflows, fulfilment, B2B and B2C order management, and real-time reporting in one system, rather than mapping generic ERP logic onto the business.
1
Purchase Order and Vendor Management
Purchase orders, goods receipt, and vendor invoices were tracked in separate spreadsheets, so confirming whether ordered stock had actually arrived meant calling the warehouse directly.
Purchase order creation, vendor coordination, goods receipt, and invoice workflows now move through a single digital flow. The PO Creation and Tracking view shows every order's status against vendor commitments, while the Vendor Coordination view confirms receipt against what was actually delivered, replacing the phone calls that previously connected these steps.

2
Batch and FEFO-Controlled Inventory
Batch and expiry data lived in manual registers, so enforcing first-expired-first-out during dispatch depended on whichever picker remembered to check dates.
Every batch is now captured with expiry information at receipt, and FEFO logic is enforced throughout the outbound flow inside the Batch and FEFO Control view. Stock moves in expiry order every time, reducing wastage and removing the guesswork from expiry-sensitive fulfilment across a large, fast-moving catalogue.
FEFO vs FIFO
Instead of shipping oldest-arrived stock first, the system ships soonest-to-expire stock first, the right model for beauty and wellness inventory.
Operational Outcome
Expiry exposure was reduced because batches were prioritized by shelf life, not arrival sequence alone.

3
E-commerce Integration and B2C Channel Management
Storefront stock counts were updated in batches rather than live, so a SKU could sell out on the backend while still showing as available online.
Product data, pricing, and inventory stay synchronised between the storefront and ERP in real time through the Unified Order Processing view. Orders flow directly into fulfilment without manual syncing, and inventory is reserved immediately on placement to prevent overselling across the full product catalogue, with supplier-wise margin rules configured at a granular level.
Live Sync
Product, price, and stock data remain aligned across storefront and ERP in real time.
Large Catalogue
The platform supports significant catalogue complexity without compromising operational clarity.
Margin Logic
Supplier-wise pricing and profitability rules configured at a more granular level.
Stock Reservation
Inventory reserved immediately on order placement to reduce overselling risk.
4
Warehouse, Fulfilment and Dispatch Automation
Receiving, picking, packing, and dispatch ran on paper checklists and verbal handoffs between shifts, with no record of who did what and when.
Inbound receiving, putaway, picklist generation, barcode validation, packing, dispatch, and returns are now digitised into a structured warehouse workflow. Every step is guided and tracked, reducing operational error and improving dispatch consistency across all channels without manual coordination.

5
Trading, Distribution and Real-Time Reporting
B2B wholesale pricing and D2C retail pricing were maintained in separate sheets, and leadership's view of combined performance depended on someone manually merging both.
Both D2C and B2B wholesale operations now run on channel-aware pricing, distribution workflows, and partner management inside the same platform. A live operational dashboard gives leadership a single view of sales, stock, fulfilment, and finance, replacing the manual MIS reports that previously arrived hours or days late.

05 - Results
The Numbers. The Impact.
The implementation delivered a step change in inventory accuracy, made expiry-based dispatch fully automatic, cut manual work across the warehouse, and gave the business full supply chain visibility from procurement to delivery, on a distribution model that scales without rebuilding.
Inventory Accuracy
Real-time sync and barcode validation eliminated most stock mismatches across all warehouse operations. Teams now work from one live stock position, not reconciled spreadsheets.
FEFO Compliance
Batch logic and guided picking ensure expiry-sensitive inventory moves in the right sequence every time, with no manual intervention required to enforce it.
Manual Work Reduced
Automated workflows replaced spreadsheet-heavy operations across receiving, picking, dispatch, and reporting. Teams spend less time on coordination and more on execution.
Full Supply Chain Visibility
Procurement, warehousing, fulfilment, and stock movements are all visible in real time. Leadership no longer waits for MIS reports to make decisions.
Scalable Distribution
New vendors, channels, and order volumes can be onboarded on the same platform without rebuilding operations from scratch.
Faster, More Accurate Fulfilment
Both B2C and B2B orders are processed through digital workflows, reducing errors and improving delivery reliability across channels.
Live Decisions, Not Delayed Reports
Leadership accesses real-time operational data directly from the platform instead of waiting for manually compiled MIS.
Fewer Manual Dependencies
Warehouse teams work through structured, guided digital flows, with less coordination overhead, fewer errors, and better consistency.
Growth Without Added Complexity
The platform supports expansion into new channels, partners, and warehouses without proportional increases in manual effort or operational risk.

07 - Why This Case Matters
What This Proves for Similar Businesses
Any high-SKU commerce business running B2B and B2C side by side hits the same wall: spreadsheets can track one channel or one warehouse, but not both at once, and not with expiry-sensitive stock. Kindlife shows that procurement, batch-controlled inventory, warehouse execution, e-commerce, and finance can run on one operating platform without losing the channel-specific pricing, batching, and fulfilment rules each side needs.
Client Perspective
“
Our B2B and B2C operations needed stronger control across inventory, batches, fulfilment, and margins. Auriga brought everything into one centralized ERPNext platform, with real-time inventory visibility, batch-level control, and FEFO-led fulfilment across our ecommerce and warehouse operations. The AI layer further helps us automate routine checks, identify exceptions, and improve operational accuracy. It has become the single source of truth for our operations, giving us far better control over inventory, fulfilment, and margins.

08 - Frequently Asked Questions
Questions About This Implementation
What is Kindlife and what did they need?
+
Kindlife is a digital-first beauty and wellness platform in India managing 10,000+ SKUs, 1 lakh+ monthly orders, and 200+ partner brands across multi-warehouse operations. The business needed a unified ERP to connect procurement, inventory, warehousing, fulfilment, and reporting across B2B and B2C channels on one platform.
What ERP system was implemented for Kindlife?
+
A custom ERPNext platform was implemented with tailored modules for purchase order and vendor management, FEFO-controlled batch inventory, e-commerce B2C integration, warehouse and dispatch automation with barcode validation, and unified B2B and B2C trading and reporting.
What is FEFO and why does it matter for beauty and wellness?
+
FEFO stands for First Expired, First Out. Instead of shipping oldest-arrived stock first (FIFO), FEFO ships the soonest-to-expire stock first. For beauty and wellness products, where batches have different expiry dates, incorrect sequencing can result in expired products reaching customers. The Kindlife implementation enforced FEFO automatically through batch logic and guided picking, achieving 100% compliance.
What results did the implementation achieve?
+
The implementation achieved 99% inventory accuracy through real-time sync and barcode validation, 100% FEFO compliance through automated batch logic, 40% reduction in manual work through digitized warehouse workflows, and full supply chain visibility from procurement to delivery, replacing spreadsheet-based MIS with live operational dashboards.
Can ERPNext support B2B and B2C operations on one platform?
+
Yes. The Kindlife implementation demonstrates ERPNext successfully unifying B2B wholesale and B2C e-commerce operations on a single platform, with channel-aware pricing, shared inventory, integrated fulfilment workflows, and unified reporting across both channels.
How were warehouse operations improved?
+
The entire warehouse workflow was digitized, including PO-linked receipt note generation, barcode tagging at receipt, FEFO-aware putaway, auto-generated picklists, guided FEFO picking, barcode scan at outward, digital packing confirmation, shipping label automation, and returns reconciliation. This replaced manual coordination at every step.
Managing B2B and B2C on Disconnected Systems?
If your inventory, fulfilment, and reporting are still running on spreadsheets across multiple channels and warehouses, Auriga IT builds ERPNext platforms that connect every operation in one system, with batch control, FEFO compliance, and real-time visibility built in.
